Purpose

The Proposals feature centralizes the creation, calculation, management, and lifecycle tracking of commercial proposals issued to customers.

A Proposal can be created:

  • From scratch

  • By importing an existing Estimation

  • By importing another Proposal

Proposals consolidate customer information, commercial requirements, discounts, margins, additional costs, payment conditions, taxes, fees, supporting documents, and links to related Opportunities.

They may also include a Plan/Timeline containing Work Items inherited from the selected Estimation or Proposal.

💡Important: All names, companies, currencies, customers, amounts, dates, percentages, and other values shown in this article are illustrative. Available fields, options, and statuses depend on the organization’s configuration.

Relevant configuration may include:

  • Control Center → Sales Management → Proposals

  • Control Center → Sales Management → Proposal Pipeline

  • Control Center → General → State Machine Contexts

  • General configuration for currencies, companies, payment types, payment terms, billing types, taxes, fees, Accounts, and Contacts

1. Proposals Landing Page

The Proposals landing page provides two complementary views:

  • List

  • Board

1.1 List View

The List view displays all available Proposals and their principal financial results.

Status Summary

The cards at the top show the number of Proposals in each lifecycle status.

Status Description
Worksheet Proposal currently being prepared or edited.
Negotiation Proposal under discussion or negotiation with the customer.
Validated Proposal reviewed and validated internally.
Won Proposal accepted or successfully concluded.
Lost Proposal rejected or unsuccessfully concluded.
Closed Proposal process completed and closed.

The available statuses and transitions depend on the configured workflow.

Proposal List Columns

Column Description
Name Name used to identify the Proposal.
Total Cost Total internal cost of the Proposal.
Discount Total Total discount applied to the Proposal.
Total Sell Price Total selling value of the Proposal.
Total Margin Difference between the selling value and total cost before considering the effect of discounts, according to the configured calculation.
Margin Percentage Margin expressed as a percentage.
Effective Margin Percentage Margin percentage after the effect of discounts.
Effective Margin Amount Margin amount after the effect of discounts.
Status Current lifecycle status of the Proposal.

Additional columns may be displayed through Columns, depending on the platform configuration.

Available Actions

Action Description
Add Proposal Opens the form for creating a Proposal.
Refresh Reloads the information displayed on the page.
Filters Filters the Proposal list using the available criteria.
Export Exports the displayed information.
Columns Defines which columns are displayed.
View Opens the selected Proposal.
More options (…) Provides additional actions for the selected Proposal, when available.

Pagination controls and the number of records displayed per page are available at the bottom of the list.

1.2 Financial Summary by Currency

The bottom section of the List view consolidates Proposal totals by currency.

It may include:

  • Total Cost
  • Discount Total
  • Total Sell Price
  • Total Margin
  • Margin Percentage
  • Effective Margin Percentage
  • Effective Margin Amount

Grouping totals by currency prevents amounts in different currencies from being incorrectly combined.

1.3 Board View

The Board view displays Proposals according to the stages of a selected Proposal Pipeline.

Before the board is displayed, select the required Pipeline. Examples shown in the interface include:

  • Standard Proposal Pipeline

  • Workflow Forecast

The available Pipelines depend on Control Center configuration.

The Board view supports commercial follow-up by organizing Proposals according to their current pipeline stage.

💡Important: Pipeline stages and Proposal lifecycle statuses are related but represent different controls. The lifecycle status identifies the Proposal’s formal state, while the Pipeline represents its commercial progression.

2. Creating a Proposal

Select Add Proposal from the landing page.

The creation form contains two tabs:

  • Overview

  • Customer

2.1 Overview Tab

The Overview tab defines the Proposal’s source, organizational scope, currency, and planning model.

Field Description
Import From Determines whether the Proposal is created from scratch, from an Estimation, or from another Proposal.
Estimation or Proposal to Import Appears when an import source is selected and identifies the record to be reused.
New Start Date When available, defines a new starting point for an imported Plan/Timeline and shifts the inherited Work Item dates accordingly.
Name* Required name used to identify the Proposal.
Companies Defines the company or companies under which the Proposal is created.
Fronting Company Identifies the company commercially presented as issuing or delivering the Proposal.
Currency* Required currency used for all Proposal calculations.
Work Items Determines whether the Proposal is created with a Plan/Timeline.

Importing from an Estimation

When an Estimation is selected:

  • Available commercial information is reused.

  • Requirements and financial structures may be inherited.

  • Work Items can be inherited when the Proposal is created with a Plan/Timeline.

  • Customer information may be populated from the source.

  • A New Start Date may adjust the inherited timeline.

Importing from a Proposal

When an existing Proposal is selected:

  • Available Proposal information is reused.

  • Requirements and financial structures may be cloned.

  • Work Items can be inherited when the Plan/Timeline option is enabled.

  • Customer information may be populated from the source.

  • A New Start Date may adjust the inherited Work Item dates.

Creating from Scratch

When no import source is selected:

  • The Proposal is created without inherited commercial information.

  • Customer information is entered or selected manually.

  • Requirements are created directly in the Proposal.

  • Work Items can be created when the Plan/Timeline option is enabled.

💡The information inherited from a source and the fields available for editing depend on configuration, permissions, and the status of the source record.

2.2 Customer Tab

The Customer tab defines the customer information used throughout the Proposal.

Field Description
Person Individual customer or person associated with the Proposal.
Company Customer company associated with the Proposal.
Contact Specific Contact associated with the customer or Account.
Account Account associated with the Proposal.
Name* Required customer name displayed in the Proposal.
Address Customer address used for the Proposal.
Tax Number Customer’s fiscal or tax identification number.

When the Proposal is imported, available customer information may be populated from the source.

Selecting a Company, Account, Person, or Contact may also populate related customer details when those relationships are available.

2.3 Creation Actions

Action Description
Save Creates the Proposal and opens its record.
Save and New Creates the Proposal and opens another blank creation form.
Cancel Discards the entered information and closes the form.

3. Proposal Record

After creation, the Proposal record displays:

  • Current lifecycle status
  • Header information
  • Financial KPIs
  • Summary
  • Requirements or Work Items
  • Additional costs
  • Customer information
  • Commercial terms
  • Documents
  • Taxes and fees
  • Consolidated totals

3.1 Header Actions

Action Description
History Displays the history of changes made to the Proposal, when available.
Activities Opens the activities associated with the Proposal.
Delete Deletes the Proposal when permitted by its status, permissions, and business rules.

4. Proposal Header

The header contains the Proposal’s main identification, commercial, ownership, and lifecycle information.

Field Description
Name* Name used to identify the Proposal.
Currency Currency used for the Proposal’s financial calculations.
Companies Company or companies responsible for the Proposal.
Fronting Company Company commercially presented as issuing or delivering the Proposal.
Estimation Estimation associated with or used as the source of the Proposal.
Opportunities Opportunities associated with the Proposal.
Valid After Date from which the Proposal becomes valid.
Expiry Date Date after which the Proposal is no longer valid.
Closing Date Expected or actual date on which the Proposal process is concluded.
Pipeline Proposal Pipeline used to track commercial progression.
Reason for Proposal Outcome Reason explaining the final Proposal outcome, particularly when it is Won, Lost, Cancelled, or Closed.
Discount Type Defines how discounts are applied, such as Line by Line.
Owners Users responsible for managing the Proposal.
Financials Users responsible for reviewing or managing its financial information.

Displayed fields and available values depend on system configuration and user permissions.

5. Proposal KPIs

The KPI cards provide a consolidated view of the Proposal’s commercial results.

KPI Description
Total Cost Total internal cost of all Requirements included in the Proposal.
Discount Total Total discount applied across the Proposal Requirements.
Net Sell Price Total selling value after discounts and before applicable Proposal-level taxes and fees.
Total Profit Difference between the Net Sell Price and Total Cost.
Margin Total Profit expressed as a percentage of the Net Sell Price.
Effective Margin Percentage Final margin percentage after the impact of discounts.
Total Effort Total quantity of effort included in the Proposal, normally expressed in hours.
Blended Cost Rate Average internal cost per effort unit, calculated using Total Cost and Total Effort.
Blended Sell Rate Average net selling value per effort unit, calculated using Net Sell Price and Total Effort.

The values are recalculated when Requirements, quantities, prices, margins, discounts, costs, taxes, or fees are updated.

6. Proposal Tabs

The Proposal record is organized into:

  1. Summary
  2. Requirements or Work Items
  3. Costs
  4. Customer
  5. Commercial Terms
  6. Documents

The tab used for delivery planning may depend on whether the Proposal was created with a Plan/Timeline.

6.1 Summary Tab

The Summary tab consolidates the Proposal’s financial and quantitative information.

Summary Columns

Column Description
Total Cost Total internal cost of the Requirement or category.
Discount Total Total discount applied.
Total Sell Price Total selling value.
Margin Amount Monetary difference between selling price and cost before the effect of discounts, according to the configured calculation.
Margin Percentage Margin expressed as a percentage.
Effective Margin Amount Final margin amount after discounts.
Effective Margin Percentage Final margin percentage after discounts.
Effort Total quantity or effort associated with the line.

The Summary can display hierarchical categories and their Requirements.

Use Expand All or Collapse All to manage the displayed level of detail.

6.2 Requirements Tab

When the Proposal does not use a Plan/Timeline, the Requirements tab contains the detailed commercial lines used for its calculation.

Select Add New to create a Requirement.

Requirement Fields

Field Description
Include Determines whether the Requirement contributes to the Proposal calculations.
Category Classification of the Requirement, such as Service or Product.
Name Name of the product, service, or deliverable.
Code Internal or external code associated with the Requirement.
Unit Cost Internal cost per unit.
Exchanged Unit Cost Unit cost converted into the Proposal currency.
Margin Amount Monetary margin applied to the unit cost.
Margin Percentage Margin expressed as a percentage.
Discount Amount Monetary discount applied to the Requirement.
Discount Percentage Discount expressed as a percentage.
Net Unit Sell Net selling value per unit after the applicable calculation.
Quantity Number of units or total effort, including the relevant unit such as hours.
Effective Margin Amount Final margin amount after discounts.
Effective Margin Percentage Final margin percentage after discounts.
Total Cost Total calculated internal cost.
Net Sell Price Total net selling price before taxes.
Tax Percentage Tax percentage applied to the Requirement.
Gross Sell Price Final selling price after applicable tax.

The horizontal scrollbar provides access to the complete set of fields.

Some values are calculated automatically based on cost, margin, discount, quantity, currency, and tax information.

6.3 Work Items and Plan/Timeline

When the Proposal is created with Create Proposal with a Plan/Timeline, Work Items can provide the delivery structure behind the commercial Proposal.

Depending on the creation method, Work Items may be:

  • Inherited from an Estimation

  • Inherited from another Proposal

  • Created manually

Imported Work Items can preserve:

  • Hierarchy

  • Dates

  • Dependencies

  • Requirements

  • Effort

  • Commercial calculations

When a New Start Date is provided, the inherited timeline is shifted while maintaining the relative scheduling between Work Items.

The availability of editing actions may depend on permissions and Proposal status.

7. Costs Tab

The Costs tab records additional estimated costs associated with the Proposal.

Examples may include:

  • Travel
  • Transport
  • Meals
  • Accommodation
  • External expenses
  • Other commercial or project-related costs

Cost Information

Field Description
Name Name or description of the estimated cost.
Code Code used to identify or classify the cost.
Estimated Cost Expected value of the cost in the displayed currency.

The top of the tab displays Total Estimated Cost, representing the sum of the cost records listed in this area.

Available actions may include:

  • Adding costs

  • Expanding the cost structure

  • Collapsing the cost structure

  • Managing existing cost records

Additional estimated costs are shown separately from the main Requirements table and should be reviewed when evaluating the Proposal’s complete financial impact.

8. Customer Tab

The Customer tab displays and maintains the customer information stored in the Proposal.

Field Description
Person Individual customer or person associated with the Proposal.
Company Customer company associated with the Proposal.
Contact Specific customer Contact.
Account Account associated with the Proposal.
Name* Required customer name displayed in the Proposal.
Address Customer address used in the Proposal.
Tax Number Customer’s fiscal or tax identification number.

This information may originate from the creation form or from the imported Estimation or Proposal.

Customer information should be reviewed before the Proposal is finalized, particularly when it will be used in downstream commercial, contractual, or billing processes.

9. Commercial Terms Tab

The Commercial Terms tab defines how and when the proposed amount is expected to be billed or paid.

General Commercial Terms

Field Description
Payment Types Payment method or methods applicable to the Proposal.
Payment Term Agreed timeframe or condition for payment.
Billing Type Billing model applied to the Proposal.
Comments Additional commercial, billing, or payment information.

Payment or Billing Schedule

Select Add New to create a schedule line.

Column Description
Expected Due Date Expected date for the scheduled amount to become due.
Percentage Percentage assigned to the schedule line.
Cumulative Percentage Accumulated percentage up to the current line.
Value Monetary value assigned to the schedule line.
Cumulative Value Accumulated monetary value up to the current line.
Description Additional information about the scheduled payment or billing milestone.

The schedule can be used to represent arrangements such as:

  • Advance payments

  • Milestone-based billing

  • Periodic billing

  • Delivery-based payments

  • Final settlement

The schedule percentages and values should align with the Proposal’s agreed commercial conditions.

10. Tax & Fees

The Tax & Fees section is displayed below the Proposal tabs and allows additional fees to be included in the Proposal calculation.

Select Add New to add a fee.

Column Description
Description Description of the tax or fee.
Fee Fee value or rate, according to the configured fee type.
Total Calculated total amount of the tax or fee.

Taxes applied directly to Requirement lines are represented through Tax Percentage and Gross Sell Price.

The Tax & Fees section can be used for additional amounts that apply at Proposal level.

11. Proposal Totals

The Totals section consolidates the Proposal’s financial results.

Total Description
Total Cost Total internal cost of the Proposal.
Margin Amount Total monetary margin.
Discount Total Total discount applied.
Net Sell Price Selling price before Proposal-level taxes and fees.
Tax & Fees Total Total amount of additional taxes and fees.
Gross Sell Price Final Proposal value after taxes and fees.

The Gross Sell Price represents the final consolidated commercial amount.

12. Documents Tab

The Documents tab stores supporting files associated with the Proposal.

Examples include:

  • Proposal documents
  • Customer-facing offers
  • Technical specifications
  • Statements of Work
  • Legal terms
  • Pricing attachments
  • Supporting commercial documents

Files can be uploaded using:

  • Drag & Drop

  • Browse

This keeps the Proposal and its supporting documentation centralized and traceable.

13. Proposal Pipeline

A Proposal may be associated with a configured Pipeline.

The Pipeline supports commercial tracking by placing the Proposal in a defined stage and enabling it to appear in the landing page’s Board view.

Pipeline stages may represent steps such as:

  • Preparation

  • Internal review

  • Customer submission

  • Negotiation

  • Decision

The actual stage names, order, duration, and transitions depend on the selected Pipeline configuration.

14. Proposal Lifecycle

A Proposal may progress through the configured lifecycle:

Worksheet → Negotiation → Validated → Won or Lost → Closed

The exact sequence may vary according to the configured workflow.

The Proposal outcome should be supported by the Reason for Proposal Outcome when required.

Changes to controlled or final statuses may restrict editing or deletion.

15. Editing and Managing Proposals

Subject to permissions and lifecycle status, users may:

  • Update the Proposal header.

  • Associate an Estimation.

  • Link one or more Opportunities.

  • Assign a Pipeline.

  • Set validity, expiry, and closing dates.

  • Assign Owners and Financials.

  • Select a discount method.

  • Add or update Requirements.

  • Manage Work Items and timelines when enabled.

  • Add estimated costs.

  • Review and update customer information.

  • Define payment and billing terms.

  • Create payment or billing schedule lines.

  • Add taxes and fees.

  • Upload supporting documentation.

  • Review calculated financial KPIs and totals.

  • Consult the Proposal’s History.

  • Create and manage related Activities.

  • Delete the Proposal where permitted.

16. Recommendations

  • Import an Estimation or existing Proposal when its structure is appropriate for reuse.

  • Confirm the source record before creating an inherited Proposal.

  • Use a New Start Date when the imported timeline must begin on a different date.

  • Select the correct currency before entering commercial values.

  • Review the associated Company, Fronting Company, Account, Contact, and Opportunity.

  • Validate Unit Cost and Exchanged Unit Cost values.

  • Review margins and discounts at both Requirement and Proposal level.

  • Confirm which Requirements are enabled through Include.

  • Review additional estimated costs separately from service or product Requirements.

  • Confirm taxes and fees before validating the final Gross Sell Price.

  • Ensure the payment or billing schedule matches the agreed commercial terms.

  • Select the appropriate Pipeline for commercial tracking.

  • Record the Proposal outcome reason when required.

  • Attach all customer-facing and supporting documents.

  • Review the complete financial summary before progressing the Proposal to a controlled or final status.

17. Summary

The Proposals feature combines customer information, commercial pricing, delivery planning, discounts, costs, taxes, fees, payment conditions, and lifecycle management in a single commercial record.

It supports:

  • Manual Proposal creation

  • Import from an Estimation

  • Import from another Proposal

  • Optional Work Item and timeline inheritance

  • Customer and Opportunity association

  • Requirement-level calculations

  • Discounts and effective margins

  • Additional estimated costs

  • Payment and billing conditions
