Project Management - Costs

Purpose

The Costs tab allows users to define and organize the cost structure of a project.

Costs can be created manually or imported from a predefined Cost Center Template. Each cost item can contain an estimated amount, enabling project teams to plan and monitor expected project costs in a structured way.

Project Management → Projects → Open a Project → Costs

Costs Tab Overview

The Costs tab displays the cost items associated with the selected project.

The page includes:

  • The project’s total estimated costs
  • A hierarchical list of cost items
  • Manual cost creation
  • Cost Center Template import
  • Options to expand or collapse the complete cost structure
  • Cost-item selection and removal

The total displayed in the upper-right corner uses the project currency.

Cost Structure

Costs can be organized hierarchically, allowing users to represent different cost categories and their underlying items.

For example:

  • Project Costs

    • Travel
    • Accommodation
    • Transportation
    • Equipment

Parent items help organize the structure, while the underlying items represent the individual costs applicable to the project.

Use Expand All or Collapse All to display or hide the different levels of the structure.

Cost Fields

Field Description
Name Name or description of the cost item.
Code Identifier associated with the cost item.
Estimated Cost Expected cost of the item, expressed in the project currency.
More Options (…) Opens the additional actions available for the cost item.

The currency displayed next to the estimated amount is inherited from the project configuration.

Adding a Cost Manually

To create a cost item directly in the project:

  1. Open the Costs tab.

  2. Select Add New.

  3. Enter the cost item’s Name.

  4. Enter its Code, when applicable.

  5. Define the Estimated Cost.

  6. Use the available row actions to complete or manage the cost item.

The project’s total costs are updated based on the estimated costs registered in the structure.

Removing Cost Items

To remove one or more cost items:

  1. Select the corresponding checkbox.

  2. Select Remove.

The number displayed next to Remove indicates how many items are currently selected.

When working with hierarchical costs, review the structure before removing a parent item, as it may be associated with underlying cost items.

Importing From a Cost Center Template

Instead of creating the complete cost structure manually, users can import eligible items from an existing Cost Center Template.

To import a template:

  1. Select Import From Cost Center Template.

  2. Open the Cost Center Template dropdown.

  3. Search for or select the required template.

  4. Review the cost center structure displayed in the window.

  5. Select Add to import it into the project.

The template preview displays:

Field Description
Name Name of the cost center item and its position in the hierarchy.
Code Code assigned to the cost center item.
Attributes Features enabled for the item, such as Allow Submission, Work, Accounting, Billable, Cash Advance, or Commodity.

Users can select Expand All or Collapse All to review the complete template hierarchy.

Import Rules

The import follows specific eligibility rules:

  • Only items with Allow Submission, Commodity, and Accounting enabled are imported.

  • Parent items are also imported when required to preserve the original tree structure.

  • Items outside the eligible branches are excluded.

This means that some parent items may be included only to maintain the hierarchy, even when they do not contain all the attributes required for an operational cost item.

Import Actions

The import window provides the following actions:

Action Description
Add Imports the selected Cost Center Template and closes the window.
Add and New Imports the selected template and keeps the workflow available for another import.
Cancel Closes the window without importing the template.

Example

When the Architecture Project Development template is selected, the preview displays a parent Project item and its associated cost items, such as:

  • Train
  • Flight
  • Uber
  • Taxi
  • Rent

The parent item preserves the template hierarchy, while the eligible underlying items can be used to structure and estimate the project’s costs.

Best Practices

  • Use Cost Center Templates to maintain a consistent cost structure across similar projects.

  • Review the template hierarchy and attributes before importing it.

  • Use clear and standardized names and codes for manually created costs.

  • Enter estimated costs as early as possible to support project planning.

  • Keep estimated costs updated when the project scope or expected expenditure changes.

  • Review parent and child relationships before removing cost items.

  • Confirm that the correct project currency is configured before entering estimated amounts.
