Purpose

The Benefits Catalog allows organizations to define and manage the individual benefits that may be offered to employees or external resources.

Each benefit can be classified by Benefit Type, associated with specific companies and suppliers, and controlled through an effective start and end date.

Examples include Bonus, Car Allowance, and Insurance.


Overview

The Benefits Catalog landing page provides a centralized view of all benefits configured in the system.

From this page, users can:

  • View existing benefits.

  • Identify the Benefit Type assigned to each benefit.

  • Review benefit descriptions and statuses.

  • Create new benefits.

  • Open an existing benefit.

  • Include or exclude deleted records.

  • Refresh, filter, export, and customize the displayed information.

1. Benefits Catalog Landing Page

The landing page displays the benefits configured in the system and their current status.

Available Actions

Action Description
Add Benefit Opens the form for creating a new benefit.
Refresh Reloads the page and displays the most recent information.
Include Deleted Determines whether deleted benefits are included in the list. The default value is No.
Export Exports the information displayed in the Benefits Catalog.
Columns Allows users to select which columns are displayed on the landing page.
View Opens the selected benefit record.
Filter Filters the records displayed in the corresponding column.
Pagination Allows users to navigate between result pages.
Items per page Defines the number of records displayed on each page.

List Columns

Field Description
Name Displays the name assigned to the benefit.
Type Displays the Benefit Type used to classify the benefit, such as Bonus, Transportation, or Insurance.
Description Provides additional information about the benefit.
Status Displays the current status of the benefit, such as Active.

2. Add a Benefit

To create a new benefit:

  1. Select Add Benefit.

  2. Complete the required information.

  3. Define the applicable companies, Benefit Type, suppliers, and effective dates.

  4. Click Save or Save and New.

Field Descriptions

Field Description
Status Displays the current status of the benefit. New benefits are created with the Active status.
Name (required) Defines the name of the benefit. The name should clearly identify the benefit offered.
Description Provides additional details about the purpose or characteristics of the benefit.
Companies Defines the organizational scope of the benefit. Select Tenant-Wide to make it available across the tenant or select the applicable company configuration.
Type (required) Classifies the benefit according to one of the Benefit Types previously configured in the system.
Suppliers Identifies the supplier or suppliers associated with the provision of the benefit.
Start Date (required) Defines the date and time from which the benefit becomes effective.
End Date Defines the date and time until which the benefit remains effective. An unlimited end date indicates that the benefit has no predefined expiration date.

Form Actions

Action Description
Cancel Closes the form without saving the information entered.
Save and New Saves the benefit and opens a new blank form, allowing another benefit to be created immediately.
Save Saves the benefit and closes the creation form.
Close Closes the form. Unsaved information is not retained.

Best Practices

  • Use clear and concise names that make each benefit easy to identify.
  • Select the correct Benefit Type to ensure consistent benefit classification.
  • Avoid creating duplicate benefits with similar purposes.
  • Use Tenant-Wide only when the benefit should be available across all companies.
  • Associate the relevant supplier whenever the benefit is provided by an external organization.
  • Review the effective dates before saving the benefit.
  • Use the End Date when the benefit is only available for a limited period.

Common Errors

Error Recommended Action
The benefit cannot be saved. Confirm that the required Name, Type, and Start Date fields have been completed.
The expected Benefit Type is not available. Confirm that the required record has been created in Benefit Types and is available for the selected company scope.
A benefit is not available for the expected company. Review the value selected in the Companies field.
A benefit is no longer active when expected. Review its Start Date, End Date, and current status.
A benefit appears to be missing from the list. Refresh the page, review the applied filters, and set Include Deleted to Yes when appropriate.
Duplicate or similar benefits exist. Review the current catalog before creating a new benefit and apply consistent naming conventions.
