Sales Management – Proposals

The Proposals feature within the Sales Management module centralizes the creation, management, and approval of commercial proposals issued to customers.
A proposal may include pricing structures, financial calculations, timelines inherited from estimations or previous proposals, customer information, configurable exchange rates, and supporting documentation used throughout the sales cycle.

All values shown in this article — including companies, currencies, contacts, work items, discounts, margins, and amounts — are illustrative.

Actual fields and behavior depend on system configuration defined in:

  • Control Center → Sales Management → Proposals
  • Control Center → General Settings (Currency, Contacts, Accounts, Pipelines)
  • Control Center → Sales Pipelines

1. Purpose of Proposals

The Proposals feature enables organizations to:

  • Create commercial proposals from scratch, from an Estimation, or from another Proposal
  • Inherit work plans and financial structures or define them manually
  • Assign detailed customer and account information
  • Apply discounts, margins, markup rules, and payment terms
  • Adjust the execution timeline when importing work plans
  • Attach supporting documentation
  • Track proposal progress through an optional Sales Pipeline

This ensures accurate pricing, consistency across proposals, and full traceability throughout the sales lifecycle.


2. Proposals Landing Page

The landing page presents all proposals in a tabular view.

3. Creating a Proposal

Users can create proposals in one of three ways:

  1. Import from Estimation
  2. Import from Proposal
  3. Manual Proposal (no inheritance)

The Overview tab determines the creation method and available fields.


4. Add proposal

4.1 Overview Tab

Defines the proposal’s general settings.

Fields

Field Description
Import From None, Estimation, or Proposal. Determines inheritance source.
Estimation / Proposal To Import Mandatory when an import source is selected. Loads financial data and work items.
New Start Date Optional. When provided, timelines of inherited work items shift accordingly
Name* Required name of the proposal.
Companies Internal company associated with proposal.
Fronting Company Company issuing or delivering the proposal.
Currency* Currency used for all financial calculations.
Work Items (toggle) Enables viewing/editing of work items (inherited or manual).

4.2 Customar Tab (Add Proposal)

The Customer tab defines or overrides the customer information linked to the proposal.

Depending on inheritance:

  • If importing from Estimation or Proposal → fields may auto-populate.
  • If creating manually → user must provide customer details.

This ensures correct integration with Sales, Billing, CRM, and Finance processes.

Field Description
Person Select an individual customer/contact person (optional).
Company Select the customer’s company. May auto-fill address and tax details.
Contact Specific contact associated with the company. Filtered by company.
Account Specific contact associated with the company. Filtered by company.
Name* Required customer name shown on the proposal.
Address Customer address. Auto-filled when available; can be edited
Tax Number Customer fiscal identification number

 

Action Behavior
Import from Estimation / Proposal All available customer fields auto-populate.
Manual Proposal User must manually select or enter customer data.
Changing Account or Company Updates Contact, Address, Tax Number when applicable.
Save Customer details are stored and used throughout the proposal lifecycle.


5. Work Items Logic

Work Items can be inherited or manually created depending on the creation method.

5.1 Import From Estimation

  • Work items are fully inherited.
  • Structure, phases, effort, hierarchy, and costs are preserved.
  • New Start Date shifts all associated dates.
  • If the Work Items toggle = OFF, no work items appear.

5.2 Import From Proposal

If an existing proposal is selected:

  • Work items are cloned exactly from the selected proposal.
  • New Start Date shifts dates.
  • Turning Work Items toggle OFF hides them.

5.3 Manual Proposal

If no inheritance is selected:

  • When Work Items toggle = ON, the user manually builds the cost structure using the Requirements / Work Items tab (label depends on configuration).

  • When Work Items toggle = OFF, no work plan is created.


6. Proposal Details Page

After saving, the proposal opens with all main sections.


6.1 Header Information

Header Fields may include:

  • Name
  • Currency
  • Companies
  • Fronting Company
  • Estimation
  • Valid After
  • Expire Date
  • Closing Date
  • Pipeline
  • Payment Types
  • Payment Terms
  • Opportunities
  • Reason for Proposal Outcome
  • Discount Type
  • Discount %
  • Owners
  • Financials

Displayed fields depend on configuration.


7. Optional Sales Pipeline

A Sales Pipeline may be linked to the proposal.

This section only appears when a pipeline is assigned to the proposal.

It displays:

  • Pipeline stages (e.g., Drafting, Review, Submitted, Negotiation, Approval, Execution)
  • Current status indicators
  • Percentage completion
  • Expected duration
  • Stage workflow transitions

This provides customer engagement and progress tracking throughout the proposal process.


8. Summary Tab

The Summary tab aggregates pricing, profitability, and effort.

Displayed Totals

  • Total Cost
  • Discount Total
  • Total Sell Price
  • Margin Amount
  • Margin Percentage
  • Effective Margin Amount
  • Effective Margin Percentage
  • Total Effort

Each Work Item (or Requirement) row includes:

Column Description
Total Cost Internal cost for the item.
Discount Total Total applied discount.
Net Sell Price Selling price after margin & discount.
Margin Amount / % Profit before discount.
Effective Margin Amount / % Profit after discount.
Effort Total hours associated with the item.

Supports Expand All and Collapse All.


9. Work Items / Requirements Tab

This tab behaves differently depending on whether inheritance is enabled.


9.1 Inherited Work Items (from Estimation or Proposal)

  • Automatically generated.
  • Maintain structure, hierarchy, and dependencies.
  • Users may edit fields according to permissions.
  • New Start Date shifts all timelines.


9.2 Manual Work Items / Requirements Tab (No Inheritance)

When manually created, the Requirements table appears.

Manual Cost Line Fields

Field Description
Include Toggles whether the item contributes to totals.
Category Service classification (e.g., Consulting, Engineering).
Name Description of the service or deliverable.
Code Optional internal code.
Unit Cost Cost per unit.
Exchanged Unit Cost Unit cost converted using exchange rates.
Margin Amount Monetary margin.
Margin Percentage Margin expressed as a percentage.
Discount Amount Monetary discount.
Discount Percentage Percentage discount.
Net Unit Sell Selling price after margin and discount.
Quantity Number of units.
Tax Percentage Applicable tax rate.
Gross Sell Price Price after tax.
Effective Margin Amount Margin after discount.
Effective Margin Percentage Effective margin percentage.
Total Cost Unit cost × quantity.
Net Sell Price Net unit sell × quantity.

Buttons available:

  • Add New → Creates a new service line

  • Horizontal scroll → Shows additional calculated fields


10. Exchange Rates Tab

Users may define or override exchange rates used to calculate item costs and margins.

Field Description
Source Currency Currency being converted.
Rate Conversion rate.
Type Type of exchange rate (configured values).
Valid After Date/time from which the rate applies.

Effects:

  • Updates Exchanged Unit Cost
  • Impacts margin and sell price calculations

11. Customer Tab

After creation, customer details can still be viewed or updated.

Fields included:

  • Person
  • Company
  • Contact
  • Account
  • Name* 
  • Address
  • Tax Number

This ensures consistent customer identification in downstream processes.


12. Documents Tab

Users may upload:

  • Proposal drafts
  • Attachments
  • Legal terms
  • Supporting files

Upload methods:

  • Drag & Drop
  • Browse

13. Recommendations

  • Use inheritance (Estimation or Proposal) whenever possible for accuracy.
  • Validate Exchange Rates before finalizing financial amounts.
  • Ensure customer data is aligned with Accounts and CRM.
  • Review profitability in the Summary tab before sending the proposal.
  • Attach all relevant documentation to ensure compliance and traceability.
