Contract – Personal Information Tab

Overview

The Personal Information tab consolidates all employee legal, fiscal, and household data within a contract.
This information supports payroll processing, tax reporting, and compliance with labor regulations.

It contains two main areas:

  • Legal Information – tax, social security, and income distribution details.

  • Household Members – dependents relevant for tax exemptions or family benefits.

Legal Information Section

Field Description
Disability (%) Indicates the employee’s certified disability level, if applicable. May impact tax rates or social contribution adjustments.
Dependents Number of individuals financially dependent on the employee.
Handicap Dependents Number of dependents with recognized disabilities.
Marital Status Employee’s marital situation (Single, Married, Divorced, etc.).
Income Tax (%) Percentage of income tax applied to the employee’s salary.
Social Security (%) Employee’s social security contribution rate.
Income Distribution Defines how income is attributed: • Single Holder – full income assigned to the employee. • Both Holders – shared between two holders. • Single Holder (Over 95%) – exceptional case when over 95% of income is attributed to one holder.

💡 Tip: These fields are crucial for payroll accuracy. Only authorized HR personnel should modify them to ensure tax and compliance consistency.


Household Members Section

Used to record dependents or family members related to the employee’s contract.
These records can influence tax deductions, social benefits, or allowance eligibility.

Field Description
Full Name Legal name of the household member.
Relationship Defines relation (e.g., Spouse, Child, Parent).
Date of Birth Used for eligibility and dependency validations.
Tax Identification Number National ID or fiscal number of the dependent.
Disability (%) Indicates disability level for the dependent, if applicable.

➡️ Action: Use Add New to create a new record. Updates or removals can be made as family data evolves.


History Tracking

Each modification made to legal or household data is logged and accessible under History.
This enables transparent auditing and ensures compliance with internal and legal data control policies.


Validation & Rules

Condition System Behavior / Rule
Contract Status = Future All fields are editable. Data activates when the contract start date is reached.
Contract Status = Active Most fields editable; tax-related data may require HR approval depending on role permissions.
Contract Status = Former Section becomes read-only. Only HR users with elevated access can edit archived data.
External Employee = Enabled Simplified view; only basic personal data visible. Tax and household details are hidden.
Marital Status = Married “Both Holders” and “Single Holder (Over 95%)” become available.
Dependents > 0 Household Members section becomes mandatory.
HR Role = True Full edit permissions across all fields.
Employee (Self-Service) Limited to viewing; updates restricted to non-sensitive data.

Access and Security

Access rights for the Personal Information tab are defined through Uneevo’s security role configuration.
Confidential fields (e.g., tax, dependents) are visible only to authorized HR users.
Data management complies with GDPR and other local privacy regulations.


Best Practices

  • ✅ Review employee personal data periodically to ensure accuracy and compliance.

  • ✅ Use consistent formats for names, dates, and identification numbers.

  • ✅ HR should verify employee-submitted updates before validation.

  • ✅ Sensitive information (e.g., tax and social data) should never be edited without approval.

  • ✅ Use the History log to track and audit modifications for compliance purposes.

  • ✅ If an employee changes their marital or family status, update both the Legal Information and Household Members sections immediately.
