Out of Office

Overview

The Out of Office tab manages all absence-related data associated with a contract, including vacation days, compensation days, and remaining balances for each fiscal year.
This configuration ensures that employee absences are consistent with company policies, legal frameworks, and HR processes.

Before data is reflected in contracts, mandatory parameters must be defined at Company level under Company Details → Off Work.


Company-Level Prerequisites

Field Purpose Notes
Vacation Days Defines the standard number of annual vacation days for all employees under this company. This value is automatically inherited by new contracts unless manually adjusted.
Compensation Days Specifies the default number of compensation days per year. Used for balancing extra workdays or specific agreements.
Allow Carryover (Toggle) Enables or disables the transfer of unused vacation days to the following year. When active, additional configuration for Carryover Week and Carryover Day becomes mandatory.
Carryover Week Sets the final week of the year when unused vacation days from the previous year can still be used. Commonly set to week 1 or 53, depending on Company's fiscal policy.
Carryover Day Specifies the last day of that week when carryover vacation days remain valid Typically set to Monday for process consistency.

Note:
This configuration ensures that each contract automatically aligns with the company’s time-off policy, preventing inconsistencies in vacation or compensation tracking.


Contract-Level View

Once the company setup is complete, data appears in the Out of Office tab within each active contract.

Field Description
Year The reference year for leave tracking.
Total Vacation Days The total number of vacation days assigned (inherited from company setup).
Spent Vacation Days Days already used during the selected year.
Remaining Vacation Days Automatically calculated balance.
Total Compensation Days Number of compensation days available per year.
Spent Compensation Days Used compensation days.
Remaining Compensation Days Remaining days available for future use.

Functional Behavior

  • Each new contract inherits Vacation and Compensation Days from the company’s Off Work settings.

  • Manual adjustments can be made per contract to reflect specific agreements.

  • The system dynamically calculates remaining balances as leave requests are approved.

  • If carryover is enabled at company level, balances are rolled over automatically based on the configured week and day.


Best Practices

  • Always confirm that company-level Off Work settings are defined before creating or activating new contracts.

  • Review carryover logic annually to ensure compliance with local labor regulations.

  • Keep the yearly records consistent by reviewing balances at the end of each fiscal cycle.
