Documents Tab

Overview

The Documents Tab centralizes all files and attachments related to an employee’s contract.
It serves as the digital archive for contractual, legal, and HR documents, ensuring compliance and easy access for authorized users.

Documents uploaded here remain linked to both the Contract Record and the Employee Profile, allowing full traceability throughout the employment lifecycle.

💡 Each uploaded document is stored securely to comply with data protection standards (e.g., GDPR).


Main Fields Description

Field Purpose Notes / Rules
Document Name and Type  Name and Type of Document should be part of Document identification Should clearly identify the file (e.g., “Carol  Doe_Signed Contract – 2025”).
Issue Date / Expiry Date Records document validity period.

Issue Date / Expiry Date

Indicates the validity period of the document.
This information is visible in People Management → People and is essential for managing time-sensitive records such as identification cards, visas, or work permits
File Upload Attachment field for document file. Supports common formats (PDF, JPG, PNG, DOCX).
Confidentiality Level Defines access visibility (e.g., HR-only, Manager, Employee). Confidentiality Level
Specifies the document’s visibility scope within the system.
Access rights are governed by the security roles and permissions established in the Security Setup – Role Configuration.

How to Upload or Manage Documents

  1. Open the Contract Record.

  2. Navigate to the Documents Tab.

  3. Click Add Document.

  4. Select the Document Type from the list.

  5. Upload the file using the attachment field.

  6. (Optional) Add issue and expiry dates if applicable in People Management → People

  7. Click Save.

💡 When uploading new versions, Uneevo retains older revisions for traceability — ideal for renewed contracts or recurring compliance documents.


System Logic and Integration

Document Visibility and Security

User Role Access Rights
HR Administrator Full access to upload, edit, and delete documents.
Employee (Self-Service) Full access to upload, edit and delete personal documents 

 

Best Practices

✅ Name documents consistently (e.g., “Employee_Contract_Signed_2025.pdf”).
✅ Always include issue and expiry dates for time-sensitive files (People Management - People).
✅ Regularly review expired or outdated documents for renewal or archival.
✅ Configure confidentiality levels to ensure only relevant users can access documents.
✅ Keep scanned originals in high quality for legal traceability.


💡 Tip

For External Employees (Contractors), the Documents Tab may include:

  • Supplier or subcontractor agreements

  • Service confirmations

  • Project NDAs

These ensure all third-party compliance documents are centralized under their respective contracts.
