Cost Management Tab

Overview

The Cost Management tab defines how an employee’s or contractor’s costs are calculated and allocated to projects.
This section ensures accurate tracking of billable time, cost rates, and financial reporting across the organization.

Configuration within this tab affects how a resource’s costs contribute to project profitability, billing, and internal reporting.

Screen Overview

Field Description
Billable (Toggle) Enables or disables billable status. When active, the resource’s time and costs can be allocated to client projects.
Billable Percentage Defines what percentage of the resource’s time is billable. For example, 100% means all hours worked are considered billable; 50% means half of the time is billable.
Daily Salary Rate (EUR) Represents the actual internal cost per day for the employee or contractor. Used for cost reporting and margin analysis.
Daily Theoretical Rate (EUR) Indicates the expected or planned daily rate for comparison with the actual salary rate. This helps evaluate cost efficiency and profitability.

Functionality

  • The billable toggle directly controls whether this contract’s time entries appear in project billing and cost allocation processes.

  • The rates defined here are used in financial analytics and profitability reports.

  • Data is visible in related modules such as Resource Management, Operations Management, and Insights, ensuring consistent cost reporting across the system.

  • Historical rate adjustments are tracked in the History section for audit and review.

Best Practices

  • Set Billable Percentage accurately to reflect the resource’s expected client-facing workload.

  • Keep Daily Salary Rate aligned with payroll and HR cost data.

  • Use Daily Theoretical Rate as a benchmark to identify cost overruns or efficiency gaps.

  • Always review the History log after rate changes to maintain financial traceability.

Example

Scenario Billable % Daily Salary Rate Daily Theoretical Rate Outcome
Full-time consultant fully allocated to client projects 100% 400 EUR 450 EUR All time is billable; slight margin over salary cost.
Internal trainer working part-time on client work 50% 300 EUR 400 EUR Only half of time charged to projects.
