Overview

Price Lists define how products are priced over a specific period of time. They allow organizations to manage commercial conditions, control pricing strategies, and apply structured pricing across products and variants.

Each price list acts as a time-bound pricing container, where:

  • Products are assigned
  • Prices and margins are defined
  • Validity periods are controlled
  • Approval workflows are applied

Price Lists are essential for ensuring pricing consistency, traceability, and flexibility across different commercial scenarios.

Price Lists Landing Page

The landing page provides an overview of all price lists and their statuses.

Status Indicators

At the top of the page, price lists are grouped by lifecycle status:

  • Approved – Active and validated price lists
  • Rejected – Price lists not approved
  • Submitted – Awaiting approval
  • Worksheet – Draft or in-progress price lists
  • Closed – Expired or finalized price lists

Available Actions

From this page, you can:

  • View existing price lists
  • Create new price lists
  • Monitor status and validity periods
  • Export data or customize columns

Creating a Price List

To create a new price list:

  1. Click Add Price List

  2. Fill in the required fields:

Field Description
Name Name of the price list
Code Internal reference code (optional)
Currency Currency used for pricing
Companies Company scope
Start Date Date when the price list becomes active
End Date Date when the price list expires (optional)
  1. Click Save or Save and New


Managing a Price List

After creation, the system opens the Price List Details page, where pricing configuration is completed.

Header Information

Contains:

  • Name
  • Code
  • Currency
  • Companies
  • Start Date / End Date
  • Status (e.g., Approved)

Available Actions

  • View History
  • Manage Statuses
  • Delete price list (if applicable)

Price List Tabs

1. Items

The Items tab is the core of the price list.

Here you define which products (and variants) are included and their pricing.

Key Fields

Field Description
Name Item name
Start Date / End Date Validity for the specific item
Product Associated product
Variant Specific variant (if applicable)
Unit of Measure Measurement unit
Currency Pricing currency
Unit Cost Base cost
Exchanged Value Currency-adjusted value
Margin Percentage Applied margin

Each item represents a pricing entry for a product or variant within the price list.


2. Commercials

This tab (when configured) allows defining commercial conditions, such as:

  • Discounts

  • Pricing rules

  • Commercial agreements

These conditions may affect final pricing calculations.


3. Exchange Rates

Used to manage currency conversions when working with multiple currencies.

This ensures:

  • Accurate pricing across regions
  • Consistent financial calculations

4. Additional Information

This section stores complementary information that supports pricing decisions.

Examples:

  • Notes
  • Internal references
  • Contextual details

Price List Lifecycle

Price Lists follow a structured lifecycle:

Worksheet → Submitted  → Approved → Closed / Rejected

Lifecycle Meaning

Status Description
Worksheet Draft stage
Submitted Pending approval
Approved Active and usable
Rejected Not approved
Closed No longer active

This lifecycle ensures governance and control over pricing changes.


Relationship with Products

Price Lists are directly linked to Products:

  • Products reference one or more price lists
  • Pricing can be managed at:
    • Product level

    • Variant level

This allows flexible pricing strategies depending on business needs.


Best Practices

  • Define clear validity periods to avoid pricing overlaps
  • Use approval workflows to control pricing changes
  • Keep pricing aligned with cost and margin targets
  • Use variants when pricing differs per configuration
  • Regularly review and close outdated price lists
