Travel Request – Trains

Module: Operations Management → Travel Request

The Trains tab allows users to register all train journeys included in a Travel Request.
These entries contain departure and arrival information, schedules, and estimated costs — all essential for building an accurate travel itinerary and budget.

Each train entry contributes to:

  • The automatic itinerary (departure and arrival events)
  • The overall travel budget
  • Transparency for approvers reviewing mobility between locations

Every record represents a single train trip (one direction).


1. Access Path

Travel Request → Open a Request → Trains Tab


2. Purpose of the Trains Tab

This tab centralizes all train transportation needed during a trip, such as:

  • Domestic or international train travel
  • High-speed rail (e.g., Eurostar, TGV, ICE)
  • Intercity or regional trains
  • Night trains or sleeper services

Registering each train journey ensures:

  • A complete and chronological itinerary
  • Proper linkage between different travel segments
  • Accurate travel budgets
  • Compliance with company travel policies

3. Trains List

The list displays all train trips registered for the travel request.

Typical columns:

  • Origin (Country / City)
  • Arrival (Country / City)
  • Departure Date & Time
  • Destination (Country / City)
  • Arrival Date & Time
  • Estimated Cost

Available actions:

  • Add new train trip
  • Edit or delete entries
  • Sort and filter by date, cost, or location
  • Export for offline analysis

4. Adding a Train Trip

Click Add Train to open the entry form.

4.1 Required Fields

Field Description
Origin Country Country where the train journey starts
Destination Country Country where the train journey arrival
Arrival Date & Time Scheduled arrival

4.2 Optional Fields

Field Description
Origin State State where the Train journey starts
Destination state State where the train arrival
Estimated Cost Expected cost of the train trip
Description Notes (e.g., train operator, class, ticket type)

5. How Train Trips Affect the Itinerary

Each train entry automatically generates:

  • Train Departure Event
  • Train Arrival Event

They appear in the Itinerary tab in chronological order, alongside flights, buses, cars, and other travel items.

Itinerary details include:

  • Departure & arrival details
  • Transport mode: Train
  • Date, time, and duration
  • Notes or references added to the entry

This creates a full, consistent journey timeline for approvers.


6. Recommendations

  • Register separate train records for each segment (e.g., connections or transfers).
  • Validate the schedule to ensure it aligns with other segments (e.g., hotel check-in or flights).
  • Include cost estimates to help travel approvers evaluate the total trip cost.
  • Use the description field to clarify train type (e.g., “High-speed”, “Sleeper”).

7. Summary

The Trains tab ensures complete and structured recording of all train movements in a Travel Request.
It contributes to:

  • Accurate travel planning
  • Automatic itinerary generation
  • Complete cost estimation
  • Efficient approval processes

It is particularly valuable for multi-city or multi-country travel within connected rail networks.
