Operations Management – Timesheets

Purpose

Timesheets record the actual hours worked by each user.
They support organizations in:

  • tracking time spent on projects, services, and internal activities

  • comparing planned effort (Estimation / Allocations) with executed effort

  • feeding cost management, invoicing, and profitability analysis

  • ensuring compliance with internal time-tracking policies

Timesheets can be created manually by users or generated automatically based on approved allocations and other integrations.

1. Timesheets Overview

The Timesheets landing screen contains three complementary views:

  • List – detailed timesheet records
  • Calendar – daily and monthly visual time tracking
  • Timeline – Gantt-style diagram grouped by user

At the top of each view, summary counters display:

  • Approved timesheets
  • Rejected timesheets
  • Submitted timesheets
  • Worksheet (draft) timesheets

1.1 List View – Detailed Daily Records

The List tab displays all timesheet entries in a structured table, one record per line.

Important:
A timesheet record always represents a single day.
Even if the same user registers multiple activities on the same day, each activity is shown as a separate line.

Key Columns

  • Description – the activity performed
  • User – who recorded the time
  • Effort – hours worked
  • Week Start Date – the week the day belongs to
  • Start Time / End Time – only used when time tracking by interval is enabled
  • Status – Worksheet, Submitted, Approved, Rejected
  • Cost Center
  • Project
  • Project – Work Item
  • (additional optional columns)

Use Cases

  • daily or weekly time review
  • bulk approval of team timesheets
  • filtering by project, user, date, cost center, etc.
  • ensuring compliance with expected working hours

1.2 Calendar View – Monthly or Weekly Timesheet Overview

The Calendar tab provides a visual view of timesheets, allowing quick validation of filled and missing days.

Features

  • Color-coded entries, typically:

    • orange → Worksheet
    • yellow → Submitted
    • green → Approved
  • navigation by week or month
  • weekly totals per user
  • filters by user, project, service, cost center, and more
  • AutoFit and Export options

Use Cases

  • quickly identify missing timesheets
  • validate project execution over time
  • ensure users fill in the correct work items
  • monthly approval routines

1.3 Timeline View – Gantt-Style Daily Effort Representation

The Timeline tab displays timesheets grouped by user, allowing a broader visual understanding of when work occurred.

Features

  • expandable/collapsible user rows
  • each bar represents a continuous span of days with timesheet entries
  • color mapping by status (seeing the details)
  • zoom in/out and zoom-to-fit navigation
  • calendar navigation by week or month

Use Cases

  • high-level overview of team workload
  • quick identification of gaps or inconsistencies
  • detecting overlapping or missing time entries

2. Creating a Timesheet

Users can manually add a timesheet by selecting:

This opens the creation form.

2.1 Fields Explained

Required Fields

  • User – person submitting the timesheet
  • Effort – number of hours worked
  • Time Period – defines the day (or date range, if multiple weekdays are selected)
  • Week Days – one or more days within the selected period
  • Description – activity performed
  • Classification – type of activity (Work, Training, Meeting, Travel, etc.)

Optional Fields

  • Cost Center
  • Cost Center Item
  • Project
  • Project – Work Item
  • Service

These options support full linkage between Timesheets, Resource Management, and Project Management.


3. Timesheet Status Lifecycle

Timesheets follow the same State Machine logic used in Allocations.

Default states include:

  • Worksheet – draft, editable
  • Submitted – sent for approval
  • Approved – validated and locked for accounting
  • Rejected – returned for correction

Note:

  • Submitters can create and submit timesheets
  • Approvers can validate or reject them

4. Timesheet Columns – Additional Details

The system allows activation of extra fields such as:

  • Week Start Date
  • Start Time / End Time for interval-based tracking
  • Cost Center / Cost center - Item
  • Project / Project - Work Item
  • Allocation
  • Service
  • Classification
  • Effort Only
  • Submit Date
  • Status

5. Relationship with Allocations

Timesheets may or may not be tied to Allocations, depending on company policy.

Timesheets can be:

  • linked to an allocation (recommended for planning accuracy)

  • registered directly, even without an allocation (allowed behavior in UNEEVO)

This enables flexibility:

  • full-planning organizations → enforce allocations

  • lightweight organizations → allow direct time entry
