System Parameters – Companies, Access Profiles, Users & Security
Purpose
The System configuration defines the foundation for how users, companies, and access permissions operate in the platform.
This setup ensures that each entity within your environment has the correct access level, company association.
Accessing the System Area
To configure system-level elements:

Click Control Center in the top-right corner of the screen.

In the left-side menu, select System.

Configuration Areas

| Area | Description | Purpose |
|---|---|---|
| Companies | Create and configure the legal entities that represent your organization. Define the company’s legal details, currency, time zone, and specific rules such as working hours and off-work policies. | Enables correct entity-level operation across modules such as People, Projects, and Payroll Component. |
| Access Profiles | Define the profiles that control what users can see or do within the system. Assign permissions to modules, views, and functions. | Ensures secure and role-based access control. |
| Users | Create system user accounts. Assign each user to a Person or Contract, and link them to an Access Profile. You may also trigger an automatic email to set up their password. | Controls who can log into the system and defines their role. |
| Security Configuration | Define the default Tenant Administrator Profile and Default User Profile used across the system. | Centralizes system-level security governance. |
Companies Configuration
Each company entry includes legal and operational details, such as:

| Name / Legal Name | Defines the commercial and legal identification of the company. |
| Industry Type / Sector Type | Classifies the business sector. |
| Tax Number / CAE Codes | Identifies fiscal registration data. |
| Currency | Default currency used for payroll, benefits, and cost calculations. |
| Timezone | Defines the local time for scheduling, reporting, and payroll cutoffs. |
| Business Hours | Set the company’s standard working schedule. |
| Off Work Rules | Define vacation and compensation day rules (e.g., carryover permissions, number of vacation days). |
| Legal Taxes | Manage tax-related details applicable to the company. |
Note: Company-level configurations, such as Off Work and Legal Taxes, influence People and Contract modules.
Access Profiles
Access Profiles determine which system areas a user can interact with and the level of action they can perform.

| Element | Description |
|---|---|
| Name / Description | Identifies and describes the purpose of the access profile. |
| Users | Assign users directly to this profile. |
| Permissions | Define access by module, company, or functional area (e.g., Read, Full, Edit). |
💡Tip: A “Project Access” profile may have full access to the Project module but read-only access to People Management.
Users
Create and manage all user accounts under the Users section.
Each user must be linked to an Access Profile, and optionally, to a Person or Contract record for operational traceability.

| First Name / Last Name / Display Name | Identification details of the user. |
| Used for login and communication. | |
| Contract / Person | Links the user to internal HR records. |
| Access Profile | Defines permissions and module access. |
| Password Setup Email | Sends an automatic message for password setup. |
Security Configuration
Defines the default access governance for the tenant.

| Tenant Admin Profile | Determines which access profile has full administrative rights. |
| Default User Profile | Defines the default access profile for standard users created within the environment. |
💡Tip: These settings are defined by the technical team during environment creation and should be reviewed before user activation.

Keep at least one active System Administrator Profile.

Always link users to a Person or Contract for consistent audit tracking.
