Suppliers - Management view

The Suppliers Search Screen is the main entry point for consulting, filtering and managing supplier records within the system.
From this area, users can view all registered suppliers, quickly access detailed information, and create, edit or delete records according to their permissions.

The interface displays a dynamic table containing all existing suppliers, where each row represents an individual record.

The main columns displayed include:

  • Name – the supplier’s commercial name;
  • Number – supplier's telephone number identified as primary;
  • Types – the supplier’s category or group (e.g., Services, Materials, Consultancy);
  • Status – indicates whether the supplier is Prospect, Candidate, Active or Inactive;

 

Main Features

Add Supplier

The Add Supplier button opens a modal window where new supplier records can be created.


The form requires entering key information before saving the supplier .

Fields available:

  • Name* – supplier’s commercial name (mandatory);
  • Fiscal Number* – tax identification number (NIF/VAT) (mandatory);
  • Companies – determines whether the supplier is tenant-wide or company-specific (optional).

Mandatory fields are marked with a red asterisk (*).

Available actions:

  • Cancel – closes the form without saving any changes;
  • Save and New – saves the current record and immediately opens a new blank form to register another supplier;
  • Save – saves the record and closes the modal.

Refresh 

The Refresh button reloads the supplier list ensuring that all recent changes are displayed.
This feature is useful after creating, editing or deleting records.

Global Filters

At the top of the screen, users can apply global search filters to refine the displayed results. These filters allow suppliers to be located using various criteria such as types, status, currency, payment terms or payment types. 

Multiple filters can be combined cumulatively to optimize search results and reduce navigation time.

Export

The Export option enables the export of visible data into different formats (such as Excel, PDF or CSV) facilitating external analysis and reporting.
Only the currently displayed columns are exported respecting the active filters.

Columns

Through the Columns button users can add or remove columns in the table. This customization allows the interface to be adapted to the specific needs of each user.
Columns can also be reordered using drag and drop by moving the column header to the desired position.

Column Sorting

By clicking any column header users can sort the results in ascending or descending order.
A small arrow icon next to the column name indicates the current sorting direction.

Column Filters

Each column header includes a filter icon that opens a contextual filtering menu.
This allows users to search within that specific column using different matching criteria like:

  • Starts With – displays only records beginning with the entered value;
  • Contains – finds all records that include the value anywhere in the field;
  • Equals – shows exact matches only;
  • Ends With – filters results that end with the entered value.

After selecting the desired condition enter the value and click Filter to apply the filter.
Click Clear to remove it and restore the full list.

Pagination

At the bottom of the screen users can control the number of items per page and navigate through pages using the forward and backward arrows. This makes it easier to browse extensive supplier lists efficiently.

Access to Supplier Details

To access the Supplier Detail Screen simply click on the supplier’s name or the corresponding view icon.

This opens the Supplier Detail Screen where users can review, edit and manage all information related to that supplier.


Best Practices

  • Before adding a new supplier check if the supplier already exists to avoid duplicate entries.
  • Use column filters for quick precise searches by type, status, currency or payments.
  • Customize table columns to display only the most relevant information for your daily operations.
