Purpose
Sourcing Requests support the identification and assignment of suitable resources to project work that has not yet been staffed.
The feature consolidates resource demand originating from project Work Items and allows users to:
- Review unassigned services and Work Items
- Assess the dates and effort required
- Find suitable resources using availability, matching criteria, and cost impact
- Assign known resources manually
- Verify whether the selected resource can cover the requested effort
- Create the corresponding allocations
Two assignment methods are available:

Find Talent – Evaluates and recommends suitable candidates using weighted criteria.

Assign Manually – Allows users to filter, review, and select resources directly.

What Is a Sourcing Request?
A Sourcing Request represents resource demand associated with a project Work Item.
Each request identifies:
- The required service, when defined
- The originating Work Item and project
- The planned execution period
- The total effort required
- Whether an allocation has already been created
Sourcing Requests help convert unassigned project demand into resource assignments and allocations.
1. Sourcing Requests Landing Page
The Sourcing Requests landing page displays the project requirements awaiting resource assignment.

Landing Page Columns
| Column | Description |
|---|---|
| Service | Service required by the Work Item. N/A is displayed when no service has been defined. The Work Item and associated project are displayed below the service. |
| Dates | Planned date or execution period of the Work Item. The total effort required is displayed below the dates. |
| Allocation Creation | Indicates whether an allocation has already been created for the sourcing request. |
| Actions | Provides additional actions for the individual request. |
The selection box at the beginning of each row allows one or more sourcing requests to be selected.
Landing Page Controls

| Filters | Applies criteria to refine the records displayed. The number indicates how many filters are active. |
| Work Items | Determines whether sourcing requirements originating from Work Items are included. |
| Allocations | Determines whether allocation-related information or records are included. |
| Pagination | Navigates between result pages and defines how many items are displayed per page. |
2. Selecting Sourcing Requests
To begin assigning resources:

Select one or more sourcing requests using the corresponding checkboxes.

Choose one of the available assignment methods:

The number displayed next to each action indicates how many requests are currently selected.
Selected rows are highlighted to distinguish them from the remaining records.
3. Find Talent
The Find Talent option supports candidate selection by evaluating eligible resources against the requirements of the selected sourcing requests.
To use Talent Finder:

Select the relevant sourcing requests.

Select Find Talent.

Configure the score weighting, availability setting, and Allocation Status.

Review the proposed users and evaluation results.

Adjust the selected users when required.

Select Fill Resources to complete the assignment.
Talent Finder Results
The results table displays the selected requests together with the proposed resources and their evaluation.

| Service | Required service and originating Work Item. |
| Dates | Planned execution period and total effort required. |
| User | Candidate selected for the sourcing request. The field can be used to review or change the selected resource. |
| Availability | Percentage of the candidate’s availability during the required period. |
| Covered | Indicates whether the candidate has sufficient capacity to cover the requested effort. |
| Criteria | Number of defined matching criteria met by the candidate, displayed as X of Y. |
| Cost Impact | Financial impact of assigning the selected candidate. No Impact is displayed when no difference is identified. |
| Allocation Creation | Indicates whether the allocation has already been created. |
Horizontal scrolling can be used to access additional columns when required.
Score Weighting
The Score Weighting panel determines the importance of each factor used to evaluate and rank candidates.
| Setting | Description |

| Criteria Weight | Defines the importance of matching the skills and other criteria required for the work. |
| Cost Impact Weight | Defines the importance of the candidate’s financial impact. |
| Availability Weight | Defines the importance of the candidate’s availability during the requested period. |
Move each slider toward Less Important or More Important to adjust its influence on candidate selection.
Additional Settings
| Setting | Description |

| Availability Setting | Defines the information used to calculate candidate availability, such as existing allocations. |
| Allocation Status | Status assigned to the allocations created through the sourcing process. |
Adjusting these settings updates how candidates are evaluated and how the resulting allocations are created.
Filling Resources
After reviewing the proposed candidates, select Fill Resources.
The system then:
- Assigns the selected users to the corresponding requirements
- Fills the unassigned project demand
- Creates the applicable allocations
- Applies the selected Allocation Status
- Updates the Allocation Creation indicator
Before completing the action, review any requests marked as not covered or showing a significant cost impact.
4. Assign Manually
The Assign Manually option allows users to select resources directly through a guided four-step process:
- Resources
- Filters
- Users
- Review

This method is appropriate when the required resource is already known or when staffing decisions should be made directly rather than through weighted candidate recommendations.
4.1 Resources
The Resources step displays the sourcing requests selected for manual assignment.

4.2 Filters
The Filters step defines which resources are eligible for selection.

Allocation and Availability Filters
| Field | Description |

| Allocation Status | Status that will be applied to the allocations created through the assignment process. |
| Availability Setting | Defines the information used to assess resource availability, such as existing allocations. |
| Hours Per Day | Defines the minimum or applicable number of available hours per day required from a resource. |
| Weekdays | Defines the days of the week considered when evaluating availability. |
| Only Non-Overallocated Users | When enabled, includes only users whose selection will not cause overallocation on any applicable day. |
Matching Criteria
| Field | Description |

| Skill Domains | Limits the results to resources associated with the selected skill domains. |
| Skill Categories | Filters resources by specific skill categories. |
| Knowledge Level Types | Filters resources according to the required knowledge or proficiency level. |
| Companies | Limits the search to resources belonging to the selected companies. Tenant-Wide includes resources across the tenant. |
| Areas | Filters resources by organizational area. |
| Functions | Filters resources by professional or organizational function. |
| Categories | Filters resources by the configured resource categories. |
| Work Types | Filters resources according to their applicable work types. |
Multiple criteria can be combined to narrow the list of eligible resources.
Select Next to apply the filters or Previous to return to the sourcing-request selection.
4.3 Users
The Users step displays the resources who satisfy the filters defined in the previous step.

The header summarizes:
- Service
- Work Item and project
- Required dates
- Total effort
Each eligible user is displayed with an availability percentage and a calendar-based view of the requested period.
Users can:
- Select the resource to be assigned
- Navigate backward or forward through the calendar
- Select a reference month
- Return to Today
- Use horizontal scrolling to review the complete period
- Review whether automatic fitting is enabled
Select Next after choosing a resource.
4.4 Review
The Review step allows users to validate the assignment before resources and allocations are created.

The header displays:
- Service
- Work Item
- Required dates
- Total effort
- Selected user
- User title
The review area includes two perspectives:

Availability Review
The Availability tab compares the user’s capacity with the effort requested for each applicable date.

| Availability | Percentage of the user’s availability on that date. |
| Capacity | User’s total working capacity for the date. |
| Remaining | Capacity remaining before the new assignment is applied. |
| Requested | Effort required by the sourcing request. |
| Remaining After | Capacity expected to remain after the requested effort is assigned. |
| Covered | Indicates whether the user has sufficient remaining capacity to cover the request. |
This information helps prevent assignments that would exceed the selected resource’s capacity.
The table can be filtered, exported, and customized using the Columns option.
Projects Review
The Projects tab provides visibility into the selected user’s project-related planning and commitments.

Use this view to understand how the proposed assignment fits alongside the user’s existing project workload before completing the sourcing process.
Completing the Manual Assignment
After reviewing the selected user:

Confirm that the requested effort is covered.

Review the user’s remaining capacity and existing project commitments.

Select Fill Resources.
The system assigns the selected user and creates the corresponding allocations using the Allocation Status selected during the Filters step.
5. Find Talent vs. Assign Manually

Both methods use the same sourcing demand and can create the allocations required to reserve the selected resource’s capacity.
6. Relationship with Work Items and Allocations

The sourcing process connects project demand with resource capacity, creating a consistent flow from Work Item planning to resource assignment and allocation.
Best Practices
- Define accurate Work Item dates and effort before sourcing resources.
- Associate services and matching criteria with Work Items whenever possible.
- Use Find Talent when availability, skills, and cost should influence candidate selection.
- Use Assign Manually when the required resource is already known.
- Apply filters that are relevant to the staffing requirement.
- Review requests marked as not covered before filling resources.
- Consider cost impact alongside skills and availability.
- Use the non-overallocation option when capacity constraints must be strictly respected.
- Confirm the Allocation Status before creating allocations.
- Review availability and existing project commitments before completing an assignment.
