Configure Allocation Integrations in Resource Management

Purpose

The Allocation Integrations setup defines how the Resource Management module interacts with the Timesheet Management process.
Through this configuration, administrators specify which allocation status triggers the automatic creation of timesheets.
These statuses are managed globally in the State Machine Contexts section under the Control Center, ensuring workflow consistency across the system.

Main Menu → Control Center → Resource Management → Allocations → Integrations


Configuration Overview

This section contains a single parameter:

Field Description
Status to Create Timesheets Determines which allocation status will automatically generate corresponding timesheet entries. The list of available statuses (e.g., Worksheet, Submitted, Approved, Rejected) is defined under the State Machine Contexts setup.

Status Options

The available statuses in this dropdown are configured in:

Main menu → Control Center → General → State Machine Contexts 

Within the Allocations context, administrators can define and customize the workflow of status transitions (e.g., Worksheet → Submitted → Approved → Rejected).
These same statuses appear in the Allocation Integrations parameter, allowing direct linkage between allocation workflows and timesheet creation logic.


Configuration Steps

  1. Go to Resource Management → Allocations → Integrations.

  2. Under Status to Create Timesheets, select the desired status (e.g., Approved).

  3. Click Save to apply the change.

Once set, any allocation reaching the selected status will trigger timesheet generation automatically.


Example

  • Scenario: The organization wants timesheets to be created only after resource allocations are fully approved.

  • Configuration:

    • In the dropdown, select Approved as the trigger status.

    • When an allocation transitions to Approved, the system automatically generates the corresponding timesheet.

This ensures timesheets are created only after proper validation and approval, maintaining accuracy in time-tracking and billing.


Best Practices

  • Use Approved as the trigger status for most workflows to ensure validated data consistency.

  • Avoid using early-stage statuses (like Worksheet or Submitted) unless time entry needs to begin before approval.

  • Periodically review the State Machine Contexts setup to align statuses with process changes.

  • Keep the Integration configuration in sync with the organization’s approval policies.
