Project Management – Manage Project Information

Purpose

After a project is created, the Project Information section allows users to manage the project’s core attributes.
This information defines the project’s identity, governance, and operational context and applies across all project activities.

Managing project information correctly ensures consistency, traceability, and accurate reporting throughout the project lifecycle.


Access Path

Project Management → Projects → Open a Project

Project Information is primarily managed through the Project Header, located at the top of the project detail page.


Project Header Overview

The project header contains the main attributes that describe and control the project.
These fields can be updated at any time (subject to permissions) and immediately affect project behavior.

The header is always visible, regardless of the selected project tab.


Core Project Information Fields

Identification & Classification

Field Description
Name Project name. Can be edited after creation if required.
Type Classification of the project (e.g., Software Implementation, Internal Initiative).
External ID Optional external reference used for integrations or internal tracking.

Time & Scheduling

Field Description
Timezone Defines how all project dates and timelines are calculated and displayed.
Work Calendar Determines working days, holidays, and effort distribution.

Organizational Context

Field Description
Companies Organizational scope of the project.
Fronting Company Entity responsible for delivery and/or billing.
Currency Currency used for all financial values within the project.

Process & Governance

Field Description
Process Project process that defines methodology, features, work item behavior, and KPIs.
Priority Relative importance of the project compared to others.
Status Current lifecycle state of the project (e.g., Not Started, In Progress, Completed).

💡Important:
Changing the project process may impact available tabs, work item behavior, and reporting.


Responsibility & Ownership

Field Description
Managers Users responsible for managing and overseeing the project.
Financial Contacts Users responsible for financial oversight and approvals.

These roles support accountability and governance.


Header Actions

The project header also provides quick-access actions:

  • History – View changes made to project information over time.
  • Activities – View logged activities related to the project.
  • Delete – Remove the project (available only if permitted and not restricted by dependencies).

Impact of Project Information on Execution

Changes made in the project header influence:

  • Availability of project tabs and features
  • Work item scheduling and effort calculation
  • Financial tracking and reporting
  • Resource allocation views
  • Dashboard and KPI outputs

For this reason, updates to core project information should be performed carefully, especially after execution has started.


Best Practices

  • Finalize process, timezone, and currency before adding work items.
  • Assign project managers early to ensure ownership.
  • Use priority and status consistently for portfolio reporting.
  • Avoid frequent changes to the process after execution begins.
  • Keep external IDs aligned with external systems if integrations are used.
