Project Management – Manage Backlogs

Overview

The Backlogs feature in Project Management provides a centralized workspace to collect, organize, and prioritize work before it is planned and executed.
It supports multiple delivery approaches—such as Agile, Hybrid, and Kanban—and helps teams maintain a structured and transparent pipeline of upcoming work.

A backlog serves as a container for work items (for example, tasks or user stories) that can later be scheduled into projects, sprints, or execution plans.


Access Path

Project Management → Backlogs

This opens the Backlogs landing page, where all backlogs available to the user are listed.


Backlogs Landing Page

The landing page provides an overview of all backlogs and their key characteristics.

Displayed information includes:

  • Name – The backlog identifier
  • Company – The company associated with the backlog
  • Process – The methodology applied (e.g. Agile – Kanban, Hybrid)
  • Actions – Contextual actions available for each backlog

Available actions:

  • Create a new backlog
  • Open and manage an existing backlog
  • Filter, sort, export data, and configure visible columns

Creating a Backlog

To create a new backlog:

  1. Click Add Backlog

  1. Complete the required fields:

    • Name (mandatory)

    • Company

    • Process, which defines how work items are structured and managed

  2. Click Save or Save and New

Once created, the backlog is ready to receive work items.


Backlog Detail Page

Opening a backlog displays its configuration and the list of associated work items.

Header Information

The header defines the core settings of the backlog:

  • Name
  • Company
  • Process

These settings influence how work items behave, are visualized, and progress through their lifecycle.


Managing Work Items in a Backlog

Each backlog includes a Work Items section, where users create, organize, and track tasks and activities.

Available views

Work items can be visualized using different perspectives, depending on planning needs:

  • List – A tabular view with filtering, sorting, and column management
  • Calendar – A time-based view showing work items across dates
  • Board – A Kanban-style board grouping work items by status

Users can switch between views at any time.


Adding Work Items to a Backlog

To add a work item from within a backlog:

  1. Click Add Work Item

  1. Complete the Overview tab:

    • Project (mandatory)

    • Name (mandatory)

    • Type

    • Status

    • Description

    • Parent / Predecessors

    • Estimated dates

    • Impact and risk indicators

    • Backlog (automatically pre-filled)

  2. Optionally configure:

    • Assignments – Assign users and define estimated effort

    • Documents – Attach supporting files

  3. Click Save or Save and New

The work item immediately becomes visible in all backlog views.


Board View (Kanban)

The Board view provides a visual representation of work items organized by status.

Key characteristics:

  • Work items are displayed in columns representing their current status

  • Filtering by project is supported

  • Designed for Agile and Kanban workflows

  • Ideal for tracking progress and visualizing work distribution


Calendar View

The Calendar view presents work items along a timeline.

This view is useful for:

  • Visualizing workload over time
  • Identifying scheduling conflicts or gaps
  • Supporting short- and medium-term planning

Users can navigate by day, week, month, or timeline-based views.

The Backlogs module is a foundational component of Project Management, acting as the starting point for work planning.
It allows teams to capture, structure, and prioritize work before execution, while supporting different methodologies and planning styles.

By providing multiple visualization options and a flexible structure, backlogs help ensure clarity, alignment, and effective preparation for project delivery.
