Operations Management – Transactions

The Transactions feature, part of the Operations Management module, centralizes the registration, classification, and financial tracking of all operational transactions, such as expenses, incomes, adjustments, or per diem allowances.

Users can create manual transactions, import entries, attach documents, classify costs into projects and cost centers, and view summarized financial balances.

The actual options depend on system configuration defined in:

  • Control Center → Operations Management → Transactions
  • Control Center → General → State Machine Contexts
  • Control Center → Travel Management (for Per Diem Policies)

1. Purpose of Transactions

The Transactions feature allows organizations to:

  • Register income and expense transactions
  • Link transactions to projects, work items, travel requests, and cost centers
  • Record amounts, taxes, reimbursement values, and payment details
  • Attach supporting documents (receipts, invoices, confirmations)
  • Generate automated Per Diem transactions based on travel data
  • Track balances by currency
  • Follow approval workflows (enabled through State Machine Contexts)

This ensures clear financial accountability, cost allocation accuracy, and centralized reporting.


2. Transactions Landing Page

The landing page displays:

2.1 Status Summary

A quick overview of transactions grouped by status:

  • Approved
  • Settled
  • Submitted
  • Validated
  • Worksheet
  • Rejected

These counters help users identify where transactions stand in the approval process.


2.2 Transactions List

Each record displays key information such as:

  • Document ID
  • Date
  • User
  • Transaction Type (Income or Expense)
  • Total Amount
  • Status

Available actions:

  • Add Transaction
  • Add Per Diem Transactions
  • Refresh
  • Filters
  • Export
  • Column Selection

2.3 Icon Meaning (View Filters)

The three icons allow users to quickly filter transaction types:

Icon Meaning
Grey arrows All Transactions
Green chart Income Transactions Only
Red chart Expense Transactions Only

These filters update the list immediately without changing any saved filters.


3. Creating a New Transaction

Selecting Add Transaction opens a multi-tab modal with four sections:


3.1 Overview Tab

Field Description
Document ID* Unique identifier for the transaction.
Import Transaction Option to import data from connected sources (if configured).
User* Person performing or associated with the transaction.
Date* Transaction date and time.

3.2 Classification Tab

Allows categorizing the transaction for financial and operational reporting.

Field Description
Invoice Link to a related invoice, if applicable.
Billing Billing category.
Travel Request Associates transaction with a travel request.
Vehicle Identification Vehicle involved, if applicable.
Cost Center Cost allocation category.
Cost Center – Item Item-level cost center.
Project Related project.
Project – Work Item Specific work item reference.
Classification Internal classification category.
Code Optional reference code.
Description Short description of the transaction.
Additional Information Free-text field for extended notes.

All options depend on configuration in the Control Center.


3.3 Amount Tab

This area captures the monetary details of the transaction.

Field Description
Transaction Type* Income or Expense.
Transaction Currency* Currency of the transaction.
Quantity Used for unit-based cost entries. Default is 1.
Unit Amount Amount per unit.
Tax Percentage Tax rate applied.
Payment Type Payment method (configured).
Exchange Currency (toggle) Enables recording transactions in a currency different from the original.

Automatically Calculated:

  • Total Gross
  • Tax Amount
  • Reimbursable Total
  • Final Total

3.4 Documents Tab

Users may upload supporting documentation such as:

  • Receipts
  • Invoices
  • Payment confirmations
  • Travel proofs

Upload options:

  • Drag & Drop
  • Browse

4. Adding Per Diem Transactions

The system can generate automated per diem entries based on Travel Requests and Per Diem Policies.

Select Add Per Diem Transactions to start the guided wizard.


4.1 Step 1 – Setup

Field Description
Travel Request Select the travel request to generate per diem.
Currency* Currency for per diem calculation.
Per Diem Policy Policy determining meal / lodging allowances.
Users* Users to whom per diems will be applied (auto-selects all travel participants if left blank).

A system note indicates that empty user selection includes all participants.


4.2 Step 2 – Stops

The system displays detected travel stops with:

  • Duration
  • Origin and destination
  • Estimated per diem cost
  • Reference to the corresponding travel segment

Users may Add New stops or adjust automatically generated ones.


4.3 Step 3 – Additional Information

A step used for policy-specific notes or custom entries (depends on configuration).


4.4 Step 4 – Summary

A confirmation page allowing users to:

  • Review all generated per diem transactions
  • Validate amounts and durations
  • Confirm creation

5. Transaction Workflow

If workflow is enabled in State Machine Contexts, transactions may follow states such as:

  • Worksheet (draft)
  • Submitted
  • Validated
  • Approved
  • Rejected
  • Settled

Transitions and allowed actors depend entirely on configuration.


6. Summary

The Transactions feature centralizes all operational financial entries — from manual expenses to automatic per diem calculations. It ensures:

  • Accurate project and cost center allocation
  • Unified financial tracking
  • Full documentation support
  • Clear workflow visibility
  • Improved auditability and reporting
