How Billing works

Purpose

Billing is the process of preparing, validating and managing billable information resulting from completed work, contractual agreements and delivered services.

Within UNEEVO, Billing provides a centralized workspace where organizations can calculate billable amounts, review pricing, apply taxes and discounts, and validate billing information before it enters the organization's financial processes.

Depending on local legislation and organizational practices, the validated billing information may later be used to produce customer invoices or other legally recognized billing documents.

By connecting operational delivery with financial information, Billing ensures that billable amounts remain accurate, consistent and fully traceable throughout the billing lifecycle.

Why Billing Matters

Completing project work does not automatically create revenue.

Before customers can be charged, organizations must verify what should be billed, validate contractual conditions and ensure that all financial information is correct.

Billing centralizes this process by allowing organizations to review billable work before it becomes part of their financial operations.

This reduces manual calculations, improves consistency and increases confidence in the billing information shared with Finance.

Billing Workspace

Billing records are managed from a centralized workspace where users can monitor the status of every billing document.

From this area users can:

  • Create new billing records manually.
  • Import billing information generated from Project Billing Plans.
  • Review existing billing documents.
  • Track billing status.
  • Export billing information.
  • Search and filter billing records.

The workspace provides complete visibility over all billing activities, allowing organizations to manage billing documents throughout their lifecycle.

Billing Sources

Billing information can originate from different business processes depending on the organization's operational model.

UNEEVO supports two primary approaches.

Source Description
Manual Billing Users create billing records directly when no predefined billing plan exists.
Project Billing Plans Billing records are automatically prepared based on billing plans configured within Project Management.

This flexibility allows organizations to combine planned project billing with occasional or exceptional billing activities.

Billing Document Structure

Each billing record contains all information required to prepare billable amounts.

Typical information includes:

  • Billing identification
  • Customer
  • Project
  • Cost Center
  • Currency
  • Billing document type
  • Payment terms
  • Reference information
  • Due date
  • Billing reason
  • Comments

This information defines the commercial context of the billing document while maintaining complete traceability with operational activities.

Billing Items

Each billing document is composed of one or more billing items.

Items define what is being billed and represent the individual services or products included within the billing document.

Each item may include:

  • Service
  • Product
  • Cost Center
  • Project Work Item
  • Description
  • Quantity
  • Unit Cost
  • Total Amount

Multiple items can be combined within the same billing document to represent complex customer engagements.

Taxes, Fees and Discounts

Billing supports financial adjustments that affect the final billable amount.

Organizations can configure:

  • Taxes
  • Additional fees
  • Commercial discounts
  • Financial discounts

All adjustments are reflected automatically within the billing totals, ensuring that the final amount accurately represents the agreed commercial conditions.

Billing Validation

Before billing information is finalized, organizations can validate:

  • Billable items
  • Pricing
  • Quantities
  • Taxes
  • Discounts
  • Totals

This validation step helps detect inconsistencies before billing information is transferred to the organization's financial processes.

Billing Lifecycle

Every billing document progresses through a controlled lifecycle.

Financial Integration

Billing acts as the bridge between operational delivery and financial management.

It combines information from projects, services and contractual agreements into validated billing records that can be consumed by the organization's financial processes.

Depending on local regulations and organizational architecture, these billing records may be:

  • used directly as customer billing documents;
  • exported to an ERP or accounting solution;
  • provided to the Finance department for legal invoice issuance;
  • integrated with external financial systems.

This approach allows UNEEVO to support organizations operating under different financial and regulatory frameworks without changing the billing process itself.

Key Business Benefits

Billing helps organizations:

  • Centralize billable information.
  • Reduce manual billing preparation.
  • Improve pricing accuracy.
  • Validate contractual compliance.
  • Support multiple billing sources.
  • Maintain complete financial traceability.
  • Integrate operational and financial information.
  • Prepare reliable billing data for downstream financial processes.
