Manage Person Information
Purpose
This article explains how to create and maintain a Person Record in Uneevo. A Person Record centralizes personal, contact, professional, compliance, and wellbeing information for any individual, whether they are a future employee, contractor, candidate, or external collaborator.
Maintaining accurate and complete person records supports onboarding activities, compliance requirements, communication, and ongoing workforce management.
Overview
A Person Record acts as the foundation of the HR lifecycle. After creating the initial record, users can progressively enrich the profile by adding:
- Personal information
- Contact details
- Professional background and qualifications
- Supporting documents
- Wellbeing information
- Work permits and visas
- Diversity information
All information is organized into dedicated tabs, allowing organizations to maintain a complete and structured profile throughout the person's lifecycle.
💡 Tip: Fields marked with a red asterisk (*) are mandatory and must be completed before saving any new or updated information.
Access Path
People Management → People
Step 1 – Create a Person Record
Select Add Person and provide the minimum information required to create the record.

| Profile Photo | Upload an image by dragging and dropping a file or selecting Browse. |
| Name (required) | Enter the person's commonly used name. |
| Legal Name | Enter the official name used in legal documents. |
| Gender Type | Select the appropriate gender information. |
Click:
- Save to create the Person Record.
- Save and New to create the current record and immediately open a new form.
💡 Tip: A clear profile photo helps improve identification and user experience throughout the platform.
Step 2 – Complete Personal Information
After creating the record, additional information can be completed from the left panel.

| Name (required) | Enter the commonly used name. |
| Legal Name | Enter the official name used in legal documents. |
| Acronym | Optional short form or initials. |
| Date of Birth | Select the person's birth date. |
| Place of Birth | Enter the city or town of birth. |
| Nationality | Specify the country of citizenship. |
| Gender Type | Select the appropriate gender information. |
| Profile Photo | Upload or replace the person's profile image. |
💡 Tip: Use consistent naming conventions and maintain accurate demographic information to simplify reporting and searching.
Step 3 – Manage Contact Information
Navigate to the Contacts tab to maintain communication and location details.
Addresses
Select Add Address and provide:

| City | City or municipality. |
| Zip Code (required) | Postal code. |
| Locality (required) | Local administrative area or district. |

| Companies | Company visibility and ownership settings. |
💡 Tip: Mark only one address as Primary to ensure communication consistency.
E-mails
Select Add E-mail and provide:

| Primary | Indicates the default e-mail address. |
| Companies | Company visibility and ownership settings. |

Phone Numbers
Select Add Phone Number and provide:

| Type | Phone classification (e.g., Mobile, Home, Office). |
| Primary | Indicates the default contact number. |
| Companies | Company visibility and ownership settings. |

Emergency Numbers
Select Add Emergency Number and provide:

| Primary | Indicates the preferred emergency contact. |

Social Media
Select Add Social Media and provide:

Step 4 – Manage Background Information
Navigate to the Background tab to maintain professional and educational information.
Professional Experience
Select Add Professional Experience and provide:

Academic Background
Select Add Academic Background and provide:

Select Add Qualification and provide:

Step 5 – Manage Documents
Navigate to the Documents tab and select Add Document.

Step 6 – Manage Wellbeing Information
Navigate to the Wellbeing tab and select Add Allergy
This section allows organizations to maintain health-related information and supporting documentation.

Step 7 – Permits
Work Visas
Select Add Work Visa to register visa information and maintain its validity and renewal dates.

Typical information includes:
- Visa category
- Emission date
- Expiration date
- Arrival date

Work Permits
Select Add Work Permit and provide:
